Officer of the Court Remote Access
Hanover County Circuit Court criminal and civil cases initiated after January 1, 2010, are maintained in digital, rather than paper, case files using the Supreme Court of Virginia’s Case Imaging System (CIS). Today pleadings, correspondence, transcripts, exhibits and paperwork received by the Circuit Court Clerk’s Office in civil and criminal cases are scanned into digital format.
The Clerk’s Office maintains traditional paper case files for ongoing civil and criminal cases initiated before January 1, 2010, but new paperwork received in those cases is also scanned into CIS. So the most recent paperwork filed in those cases (generally documents received after May 1, 2010) is available in paper files and digital format.
The General Assembly has authorized Circuit Court Clerks’ Offices to allow secure remote access to digital case files to members in good standing of the Virginia State Bar and their authorized agents, pro hoc vice attorneys authorized by the court for purposes of the practice of law, and such governmental agencies as authorized by the Clerk. This is known as Officer of the Court Remote Access (OCRA).
The Hanover Circuit Court Clerk’s Office is offering annual subscriptions for $150 for attorneys and $50 for each staff member supervised by the attorney. Employees of government agencies will generally be exempt from paying subscription fees.
To gain access to OCRA each attorney, staff member, or governmental employee must complete the following application and subscriber agreement and send them with the annual subscription fee to Hanover Circuit Court Clerk’s Office, Attention: OCRA Subscription, Post Office Box 39, Hanover, Virginia 23069. The Subscriber’s ID, password, and expiration date will be emailed to the Subscriber when the application is accepted.
